PREREQUISITES FOR INSPECTION
1.1
The Inspection Booking Form must be duly filled and submitted to us at least five (5) days before the inspection date.
2.1
The Buyer should provide Inspection Highlights containing all important points to be checked for the particular item. “Inspection Highlights” refer to the main areas of concern or key quality checkpoints specified by the Buyer.
2.2
The Buyer should provide an Approved Sample or Sealed Sample for reference. These serve as the benchmark for inspection, and our clients are strongly encouraged to send them to us.
2.3
The Buyer must provide a Purchase Order along with all available specification sheets. These documents are essential for carrying out the inspection accurately.
3.1
The Factory/Seller must ensure that all goods are 100% completed. At least 80% of the goods should be packed at the time of the Pre-shipment Inspection.
3.2
For an Online Inspection, the Factory/Seller must ensure that at least 30%–40% of the goods are finished and a minimum of 10% are fully packed.
3.3
For Container Loading Supervision, the Factory/Seller must ensure that all goods are 100% packed and that the container and loading labor are pre-arranged.
4.1
The Factory/Seller must ensure that all export cartons are properly numbered. Export cartons should be readily available for easy viewing, counting, and random sample collection.
4.2
The Inspector must be assisted and provided with a separate, well-lit inspection area equipped with an inspection table, necessary test equipment, and helpers for unpacking and repacking goods and cartons.
4.3
Inspectors should be allowed to take photographs of cartons, goods, and any related documentation freely.
4.4
The Factory’s Q.C. Manager should be available during the inspection to respond to any queries raised by the Inspector.
4.5
The Inspector has the right to work independently and must not be disturbed in any way by any person during the inspection process.
5.1
Inspectors must be allowed to communicate their inspection results to the SS Quality Inspection Head Office via phone or email.
5.2
Inspectors should be permitted to collect reference samples from the factory. These samples are retained to assist with any future client inquiries.
6.0 — Cancellation Fees
6.1
If our inspector arrives at the factory on the scheduled inspection date and finds the goods not in accordance with points 3.1, 3.2, or 3.3, 100% of the applicable man-day rate, including travel and lodging expenses, will be charged.
6.2
If an inspection date is revised or cancelled within twelve (12) working hours (Mon–Sat, 09:00–17:00) prior to the scheduled inspection, a cancellation fee of USD $200.00 will apply, plus any travel or lodging expenses incurred if the inspector has already been dispatched.
7.1
Failure to comply with the above conditions may result in delays or cancellation of the inspection.
